Overview

As electronic media and particularly websites become more complex, and as hacking and malicious website attacks become more sophisticated, new regulations have been put in place to give you more control over data which you do not want others to see.  First, it is important to realize that not all your data should be shared and can be harmful if you share it with the public:  social security numbers, live credit card numbers — these can easily be abused.  Sometimes lesser information, such as phone numbers or email addresses can be misused, but you may wish them known for business purposes.  The best approach is simply not to insert any information that you do not want potentially public into a website.  But if you do and want it removed, we have procedures to allow you do to so.  Second, some data is automatically collected:  this data is not generally intrusive (such as the IP address from which you are posting to the website), but you should be aware that such data is collected and sometimes stored automatically.  This Policy is meant to make you aware of data which may be on this website, and empower you with options to remove or cloak data you do not want potentially public.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.  Since there are many automated, robotic spam activities constantly roaming the Web, the website has software meant to catch non-human patterns and prevent them from posting.  This process requires examination of electronic data, but does not inspect information such as physical address, phone contact, or email.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.  The Gravatar service will automatically link with an “avatar” for you if you have posted one with Gravatar.  If you have not, the hash will detect you are not a Gravatar user and take no action.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Any contact form request made via the website generates an email request to an administrator.  Removal and purge of your record is available upon request at JackE@gcnfamily.org

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

Who we share your data with

Currently, only the leadership team and/or administrators can see data you leave.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.  To collect donations, we first transfer you to another, third party site (Mobile Cause) which has its own privacy procedures.  If you wish data removal from a donation record, you can still contact (email or lookup) or contact Mobile Cause.

Your contact information

Your contact information consists of your email address, phone number, physical mailing location, and any other references that you leave in your login profile, Membership Profile, posting comments, Membership Forum postings, and purchase transaction records.  Specifics are listed above.  Any requests for data removal from any website record should go to (email or lookup)   Any issues with removal of such information will be sent via return email or contact back to you.  Before deletion of data, we may ask you to go through a verification process to insure that you are the owner of the data and that your request is valid.

Additional information

How we protect your data

Non-public data (data which is only viewable by  administration) is protected by login requirements.  Valid members and administrators are required to prove their validity by signing in first.  Unauthorized access is possible should someone “hack” into a member or administrator account:  while this is rare, please do not post personal information unnecessarily anywhere in the website.  If you believe that you have added personal data which you now wish deleted, email JackE@gcnfamily.org

What data breach procedures we have in place

The website is commercially hosted, and the host has additional breach protection.  Our primary protection is via backups.  Since information you provide via contact forms on this website do not get stored on the website, a data breach should not reveal that data.

What third parties we receive data from

Google Analytics receives generic data.  The website host may take data automatically from the website.

What automated decision making and/or profiling we do with user data

Google Analytics uses generic data to make decisions about what portions of the website are garnering more attention.  This data is normally not particularly sensitive.  Please do not access the website if you believe that such data could be compromising to you.
